How to find Metrc sales transaction discrepancies with Weedetect

Weedetect makes it easy to find and resolve sales discrepancies that arise between your source data (Seed-to-Sale, ERP, POS) and Metrc.

Identifying discrepancies in Metrc sales transactions with Weedetect is straightforward. Follow these steps to ensure your sales data is accurate and compliant.

Step 1. Prepare Your Sales Data

First, export your sales transaction data from your Seed-to-Sale or ERP system in CSV or Excel format. Ensure that the file includes all relevant sales fields, such as product labels, quantities, and transaction dates. (See the attachments section of the article for an example sales file in CSV format)

Step 2. Upload Your Sales Data

Log in to Weedetect, find the drop zone labeled "Upload to start a new audit" and upload your exported sales data. Weedetect will create a draft audit and redirect you to the audit dashboard.

Step 3. Map Your Fields

Next, select "Sale" as the file resource type. This step is necessary so Weedetect knows what data you intend to audit in Metrc for the given file.

Click the icon to the far right of the file labeled "Audit fields" and select the column/field in your file that contains the receipt number. A receipt number must be included in each row of your uploaded file in order for Weedetect to find the record in Metrc.

Finally, prepare the fields that you wish to audit. If your data contains multiple transaction fields (e.g., transaction_0_package and transaction_0_qty), group these related fields under a parent field. This helps Weedetect audit related records accurately. Each transaction must belong to its own parent field.

Step 4. Run the Audit

Once your data is mapped, run the audit. Weedetect will compare your sales transactions against the records in Metrc, highlighting any discrepancies in fields such as location names, inventory levels, as well as any receipts/transactions missing entirely.

Step 5. Review the Audit Report

After the audit is complete, review the results in your audit report. Discrepancies will be categorized by priority (Low, Medium, or High) based on their potential impact on compliance. Focus on resolving high-priority issues first to maintain accurate sales records.

Step 6. Correct Discrepancies

Based on the audit report, make the necessary corrections in your Seed-to-Sale system or Metrc to resolve the discrepancy. You should be careful to make the adjustments in the system that's the source of truth for your business. If done correctly, Weedetect will send an email notification informing you the discrepancies have been corrected.
